Adelaide Pavilion (The Trustee for Alkyona Unit Trust, 71 291 135 625) runs a function centre at Veale Gardens, corner South Terrace and Peacock Road, Adelaide SA 5000. This policy explains what personal information we collect when you enquire about or book an event with us, what we do with it, and how you can get in touch about it.
We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).
For most people, this is just contact and event details:
Dietary requirements, allergies and accessibility needs: we only collect these when you give them to us, we use them solely to run your function safely, and we don't keep them for any other purpose.
We don't take payments through our website. If you pay us by card, bank transfer or in person, those details are handled by our bank or payment terminal provider, not stored by us.
Usually directly from you, through our website enquiry form, by email, over the phone, at a site visit, or in the documents you send us while planning your event.
Sometimes we receive it from someone else. If a friend or colleague books a function and gives us your details as a guest, or a wedding planner or event organiser deals with us on your behalf, we'll have your information without hearing from you first. You're welcome to contact us to ask what we hold.
Suppliers and vendors for your function. Running an event often means working with people outside our team: photographers, florists, entertainers, cake makers, equipment hire, etc. We share only what those suppliers need to do their part on the day. We don't share your details with vendors for any other reason, and we don't sell or rent your information to anyone.
Our service providers. Our website host, email provider, mailing list platform and accounting software all handle information in the ordinary course of us running the business.
When the law requires it. For example, in response to a subpoena, a health or food safety investigation, or a request from a regulator.
You'll only go on our mailing list if you ask to, or if you've held or enquired about a function with us and we think our news might be useful to you. Every email includes an unsubscribe link, and we act on unsubscribe requests promptly. You can also email us and ask to be taken off.
Our website uses cookies and analytics tools to understand how people find and use the site: which pages get visited, how long people stay, which links they click. This is aggregate information about site traffic, not something we use to identify you personally.
You can block or delete cookies through your browser settings. Some parts of the site may not work as well if you do.
Enquiry and event records are kept in our email system, booking records and business software. Some of these are cloud services with servers outside Australia, which means your information may be stored or accessed overseas. We choose providers that maintain reasonable security standards and we take reasonable steps to make sure your information is handled consistently with this policy.
We restrict access to customer information to staff who need it for their work, use password protection and secure accounts, and keep our systems up to date. No system is completely secure, and we can't guarantee against every risk, but we take the protection of your information seriously.
We keep enquiry and event records for as long as we need them for the purposes above and to meet our record-keeping obligations, generally seven years for anything with a financial record attached. After that we delete or de-identify it. Mailing list details are kept until you unsubscribe.
You can ask us what personal information we hold about you and request a copy. You can also ask us to correct anything that's wrong or out of date. Email us at contact@adelaidepavilion.com.au and we'll respond within 30 days. There's no charge, though we may ask you to verify your identity first.
There are limited situations where we can't give you access, for example, where doing so would reveal information about someone else. If that happens we'll explain why.
